Annotated first-setup walkthrough

Build a trustworthy gradebook, one explicit evidence state at a time.

Follow this sequence for a new class. The visual references use only the anonymised Learner 01–25 demonstration environment; real work happens in the authenticated Gradebook workspace.

Step 01

Confirm category weights

An administrator begins by checking the report categories. Included weights must total exactly 100% before the policy can be confirmed.

  1. 1Edit only the weights the school has approved.
  2. 2Save a draft while the policy is under review.
  3. 3Confirm only when the total reads 100%.

Step 02

Choose the class and subject

Use the sticky context bar to select the class, subject, term and academic year. Teachers see only their assigned classes; leaders can review their permitted scope.

  1. 1Class and subject provide the evidence scope.
  2. 2Term and year follow the school calendar.
  3. 3Readiness, saved and lock state stay visible.

Step 03

Capture engagement

Record participation and behaviour/commitment with a 1–3 rating. The attendance register remains the source of truth for absences.

  1. 1Pick the timetable period and date first.
  2. 2Use batch 3/3 only when it represents the whole class.
  3. 3Absent and not-assessed are explicit states, never blank marks.

Step 04

Create and mark an assessment

Create small, itemised assessment evidence. Mark each item as achieved, not achieved, absent or not assessed so the denominator is always trustworthy.

  1. 1Add one skill or item per line with its marks.
  2. 2Use the desktop matrix for fast class-wide capture.
  3. 3On narrow screens, use the learner-focused editor cards.

Step 05

Record homework and project milestones

Create Homework, Project and Project Milestone assignments. Draft and final project evidence are separate child milestones and calculate into their own policy categories.

  1. 1Homework completion is aggregated automatically.
  2. 2Create one project, then add draft and final milestones.
  3. 3Grade the related submissions in the normal workflow.

Step 06

Review insights

Use the class category view and attention list to identify missing evidence, learners below mastery and trends that need a teaching response.

  1. 1Mastered begins at 80%.
  2. 2Needs Improvement is 60% to under 80%.
  3. 3Missing evidence stays separate from achievement.

Step 07

Write reviewed comments

Choose a curated developmental template, personalise it for the learner, then save the teacher-reviewed comment before producing the learner progress PDF.

  1. 1Templates are a starting point, not a final report.
  2. 2Keep the comment developmental and evidence-based.
  3. 3Print an individual learner progress report when ready.

Step 08

Submit and print

Submission blocks incomplete item results and unconfirmed category weights. Once ready, create branded A4 class or learner PDFs in a new print-ready browser tab.

  1. 1Submission keeps existing moderation and locking rules.
  2. 2Class PDF is landscape A4 with repeated headers.
  3. 3Learner PDF is portrait A4 with comments and moderation context.

Repeatable walkthrough

Use the anonymised demo to train staff safely.

The demo seed includes Learner 01 through Learner 25, a confirmed 100% policy, itemised checkpoint evidence, engagement, homework, project milestones and a sample developmental comment. It does not import, export or process the original workbook.
